Bookkeeper - Job Description

 

POSITION SUMMARY

The Bookkeeper at Charlotte Congregational Church (CCC) will report to the Trustees and work cooperatively with all the various church Committees.  The Bookkeeper’s primary responsibilities will be to: 1) maintain all financial records of CCC, 2) manage cash disbursements, income recording, and payroll, 3) record and reconcile investment and bank activity and 4) timely financial reporting to the Trustees, Cabinet and congregation.

    

COMMITMENT AND HOURS

  • Year-round position with hours ranging from 15 to 20 per week  

  • Vacation of two weeks annually

  • Maintain a currency in bookkeeping standards and the software used in the accounting. Currently using PowerChurch

  • Have an understanding of State and Federal tax regulations as it retains to a nonprofit church

  • Implement donors’ directions on all designated funds both long term (endowment) and short term

  • Ability to attend monthly evening Cabinet meeting

  • Flexibility in work schedule to allow for training, end of year financial reports, and preparation for spring annual meeting

  • Regularly communicate with Trustees and Treasurer with financial issues/questions

 

DUTIES    

Cash Receipts:

  • Update contributors’ names and addresses for each receipt

  • Record pledges, and record payments for various funds that include pledges, loose plate, special collections, rents, designated donations, etc.​

Cash Disbursements:

  • Maintain vendor files

  • Write accounts payable & special collections checks for treasurer

  • Prepare & file 1099-NECs

Payroll:

  • Maintain employee records, including wage computations per budget

  • Write payroll checks for treasurer

  • Make federal and state tax payments

  • Prepare and file state and federal reports

General Journal:    

  • Prepare and enter standard and adjusting journal entries

Reconciliations:

  • Cash accounts (two checking; Paypal) – monthly

  • Investment accounts – monthly

Financial Reporting:

  • Prepare financial statements monthly and annually

  • Prepare other reports as required (budgets, donations, yearbook data, etc.)

  • Prepare annual statements to donors and quarterly pledge progress reports for pledgers

General:

  • Maintain account system design of funds and accounts

  • Software -Understand design, interactions, etc.

  • Preserve audit trail with back-ups and paper trail

  • Cash flow management (ongoing & large projects); prioritize payments as needed

  • Other support as requested (solar net metering management; annual budget preparation assistance; etc.) 

 

 

QUALIFICATIONS

The Bookkeeper will:

 

  • Preferably have academic credentials in accounting

  • Have at minimum bookkeeping certification or relevant experience

  • Ability to maintain a confidentiality of all donations and pledges

  • Work collegially with volunteers and ministry teams.

  • Be organized and have the ability to maintain clear records
